Privacy Policy

The membership service "Member's" (the "Service") recognizes the protection of personal information as an important responsibility, and establishes the following policy so that our users can use the Service with confidence.

1. Operator

The Service is operated by Plan-K Co., LTD. (株式会社Plan-K).
For inquiries regarding the handling of personal information, please contact us at the contact point listed at the end of this policy.

2. Personal Information We Collect

The Service may collect and store the following information that members register or enter:

• Email address (for authentication and contact)
• Name / nickname (preferred_username)
• Phone number
• Membership number (barcode)
• Identifiers required for authentication (such as the Cognito user ID)

In addition, for store operations, the following data linked to a member's account may be stored. This data is not provided by the member themselves, and cannot be viewed by general members (these are operational features for store staff and administrators):

• Visit records (visit date and time, input method, registering staff information)
• Internal store memos (operational notes recorded by store administrators for member management)

3. Purposes of Use

We use the collected personal information for the following purposes:

• Member registration, identity verification, and login authentication
• Issuing membership cards (QR codes) and accepting visit check-ins
• Managing visit history and store operations
• Providing, operating, and improving the quality of the Service
• Delivering important notices
• Responding to inquiries

4. Security Management of Personal Information

We take appropriate security measures and manage personal information strictly to prevent unauthorized access, loss, destruction, alteration, and leakage. Communications are encrypted using TLS.

5. Provision to Third Parties / Outsourcing

Except where required by law or where the individual has given consent, we do not provide collected personal information to third parties.

As the infrastructure of the Service, we use the following Amazon Web Services (AWS) services and entrust the storage and processing of data to them:

• Amazon Cognito (user authentication)
• AWS AppSync / Amazon DynamoDB (storage of member data, visit records, etc.)

AWS handles personal information in accordance with our instructions. For information about AWS privacy, please refer to the official AWS website.

6. Analytics and Advertising

The Service currently does not use any third-party analytics tools or advertising SDKs.

7. Disclosure, Correction, and Deletion of Personal Information

If an individual requests the disclosure, correction, addition, deletion, or suspension of use of their registered personal information, we will respond promptly after verifying the individual's identity. For details of the procedure, please contact the inquiry point below.

8. Account Deletion (Withdrawal)

Users can delete their account at any time from "Delete account" at the bottom of the "Member Information" screen in the Service.

Deletion procedure:

1. After logging in, open the "Member Information" tab
2. Tap "Delete account" at the bottom of the screen
3. Select "Delete" in the confirmation dialog

Upon completion of deletion, the authentication account (Cognito), member profile, user permission information, and store operation data linked to the member (visit records, internal store memos, etc.) will be deleted, and login will no longer be possible. The process usually completes within a few minutes.

9. Data Retention Period

While membership is active, we retain personal information for the period necessary to provide the Service. After account deletion, we promptly delete the related data (normally inaccessible immediately after the deletion process completes). Where there is a statutory obligation to retain data, we may retain the minimum necessary information only for the applicable period.

10. Target Age

The Service is intended for store members and is not designed for use by anyone under the age of 13.

11. Revisions to This Privacy Policy

The contents of this policy may be revised without prior notice in response to changes in laws or the contents of the Service. When there are significant changes, we will provide notice within the app, on our official website, or by other means.
